Property Reports - Future Ideas

Wireframes for three proposed report areas, drawn on the 1920×1080 Property BI page template: Facilities Management, Strategy & Development, and Sales & Leasing. Choose a tab above, or go straight to a page below. The marker on each page says whether its data exists today. Every number, site and name in the wireframes is illustrative, not Property Core data.

Five FM pages, a Site Detail drillthrough, and a Notes page. Two ways in: My Sites for someone new to a patch (what needs me, and how late is it) and Patch for someone who has run one for years (compare and trend). Data Gaps states what these pages cannot see.

  1. 1My Sitesmonitoring

What needs my attention at the sites I look after, and how late is it?

Starts from the person, not the job list; the full job list stays in Getting Jobs Done.

    Buildable now: jobs, budget, AFM

  2. Which patches are slipping, and is it getting better or worse?

Compares patches on rates, not totals. Budget Status by AFM and RFM is a separate spec.

    Partly buildable: rosters by hand

  3. How much do we spend fixing things after they break, and which statutory schedules are uncosted?

Complements FM Savings; does not repeat it.

    Partly buildable: schedules uncosted

  4. 4Due datesmonitoring

Which statutory inspections are due or overdue, and which have no record at all?

Contractor compliance stays in Vendor HSEQ.

    Partly buildable: no history yet

  5. 5Data gapsexploration

Which sites have no owner, budget, plan or record, and what do these pages not see?

New. States the scope of every other page.

    Partly buildable: no occupant source

  6. At this site: what is open, what is late, what is the budget position, and who is responsible?

Drillthrough on Building Lookup from every table on the pages above.

    Partly buildable: no occupant source

  7. 7Notesnarrative

What do the numbers mean, where does the data come from, and what is not covered yet?

Draft for review, 13-Oct-26. Proposed as a new report on the Property Core model; name and home are not decided. No model or report changed, in Dev or Prod. Two counts are carried over from earlier working sessions so the scale looks right (1,904 budgeted sites and 467 uncosted statutory schedules) and have not been re-checked.

For the S&D (major projects) team across an estate of 4,000+ properties where S&D leads some projects and holds a stake in others. Programme and Project detail extend the built S&D Capital Projects report; Exceptions reuses the five rules built for the Property Projects report; Commitments reads the Coupa orders now in the model. Movement and Our stake need data that is not recorded yet.

  1. 1Programmesummary

Is the S&D programme within budget and funded, and which projects carry the money?

    Buildable now: Dev model only

  2. 2Exceptionsmonitoring

Which projects need a decision now, who owns it, and by when?

    Partly buildable: no decision log

  3. 3Commitmentsmonitoring

What have we ordered but not yet paid for, how old is it, and does it push any project over budget?

    Buildable now: Dev model only

  4. 4Movementcomparison

What changed since the last catch-up: where did the balance go, and which exceptions opened or cleared?

    Needs data: weekly snapshot

  5. 5Our stakesummary

Across the whole estate, where does S&D lead, where do we hold a stake that others lead, and is anyone watching it?

    Partly buildable: no monitored list

  6. For this project: how have actuals built up against the budget, what is on order, and what has to be decided?

    Drillthrough on Property_Job.

    Partly buildable: no milestones

  7. 7Notesnarrative

What do the numbers mean, where does the data come from, and what is not covered yet?

Draft for review, 13-Oct-26. Dev design only; no model or report changed, Prod not touched. The exception rules and the Coupa commitments exist in Dev only. The audience is still open (executive, delivery or finance), so every page answers one question and none is tied to a single reader.

6 pages

Extends the Sales & Leasing Portfolio report (Portfolio and Holding Costs already built in Dev). Four new monitoring pages, a Lease Details drillthrough that replaces the placeholder, and a Notes page.

  1. 1Critical datesmonitoring

Which leases need a decision soon, and which have already run past their end date?

    Buildable now: residential only

  2. Who owes us rent, how old is it, and which rent reviews have been missed?

Needs data: debtors and review dates

  3. How much rent do we give up to tenants, and is it going where we intend?

Needs data: market rent per lease

  4. Which surplus sites are stuck, what do they cost to hold, and what did sales realise?

Partly buildable: no stage data yet

  5. At this site: what leases are on record, what state are they in, and what has the site cost to hold?

    Drillthrough on Building Lookup.

    Buildable now: residential only

  6. 6Notesnarrative

What do the numbers mean, where does the data come from, and what is not covered yet?

Draft for review, 11-Oct-26. Dev design only; no model or report changed, Prod not touched.
